The Brief

A flagship annual global customer event for a financial software provider, bringing together 1,400 delegates from across Europe, the US and Asia.

 

We were appointed to source a European destination capable of hosting the event at scale, secure sufficient accommodation and coordinate full logistical support alongside the client’s in-house marketing team. Accessibility, infrastructure and city collaboration were all critical to delivery.

Key Challenges

  • Identifying a European city capable of accommodating 1,400 delegates across multiple hotels within a fixed event timeline
  • Securing sufficient bedroom allocation across seven properties
  • Coordinating city-wide logistics between the core conference venue and hotel partners
  • Ensuring strong international flight access for a geographically dispersed global audience
  • Delivering a distinctive large-scale external evening experience

Our Approach

  • Presented 10 European destination options, narrowing to four shortlisted cities
  • Selected The Hague based on accessibility, infrastructure and venue capability
  • Secured The World Forum as the primary conference venue
  • Managed bedroom allocation and contractual negotiations across seven hotels
  • Deployed an 18-person team to manage meet and greet, registration, badge production and branded merchandise distribution
  • Collaborated closely with the convention bureau and local stakeholders to streamline delivery
  • Delivered a large-scale dinner within a greenhouse venue to create a memorable closing experience

Outcome

  • Successfully delivered a city-wide global conference for 1,400 delegates
  • Seamless coordination across venue, hotels and city partners
  • Positive client feedback on logistical execution and destination selection
  • Client subsequently confirmed four further events following the success of this programme
