A global banking technology company wanted to deliver a week-long global kick-off conference for 750 employees and strategic partners, aligning teams around the organisation’s strategy while creating high-impact networking and social experiences across multiple venues in Dubai.

Key Challenges

  • Delivering a fresh and engaging experience in Dubai, despite the event returning to the same city and primary venue as the previous year
  • Managing a complex, evolving agenda with increasing meeting space requirements across multiple sessions
  • Navigating permit requirements, including event, alcohol and delegate entry permits, within strict submission deadlines
  • Coordinating accommodation, conference delivery and networking events for a large international delegate group
  • Maintaining smooth logistics across a busy resort-style venue environment

Our Approach

  • Secured and managed the conference venue at the JW Marriott Marquis Dubai, one of the city’s largest and most technically capable conference hotels
  • Delivered full delegate management, including registration platform management, communications, attendance tracking and onsite help desk support
  • Managed on-site registration operations, including badge production, collection coordination and managing session scanning
  • Worked closely with venue teams and local authorities to secure required permits and maintain full regulatory compliance
  • Continuously adapted room allocations as the agenda evolved and supporting delegates through the help desk as programme changes generated queries.
  • Created a standout social experience by sourcing and securing the gala dinner at the Armani Hotel, Burj Khalifa, providing a dramatic setting with panoramic views across Dubai
  • Coordinated additional executive experiences, including a dedicated golf day, to enhance networking and relationship building
